Human Resources Assistant - We are seeking a detail-oriented and organized HR Assistant to support a broad range of human resources functions. This position provides administrative support across key HR activities, including employee records, recruitment, onboarding, benefits, compliance, employee relations, payroll support, and other HR processes. The HR Assistant works closely with employees, providers, and the HR team to ensure efficient, accurate, and responsive HR support.
Key Responsibilities:
- Maintain accurate and confidential employee records, personnel files, and HR databases.
- Assist with recruitment activities, including job postings, applicant communication, interview scheduling, and pre-employment documentation.
- Support onboarding and offboarding processes, including employment paperwork, orientation, and required documentation.
- Assist with payroll preparation by reviewing employee information, time records, status changes, and other payroll-related data.
- Process employee reimbursements and assist with tracking compensation-related requests in accordance with clinic policies.
- Verify documentation, approvals, and supporting information for HR transactions and employee requests.
- Assist with benefits administration, including enrollment, changes, employee questions, and coordination with benefit providers.
- Track leave requests, balances, allowances, and related documentation.
- Assist with employment verifications and other routine employee inquiries.
- Maintain accurate records related to provider contracts, employment agreements, compensation, and other HR documentation.
- Prepare routine HR reports, spreadsheets, and documentation for management, audits, and internal tracking.
- Assist with compliance activities and ensure HR records and processes follow applicable laws, regulations, and organizational policies.
- Support employee relations by responding to routine questions and directing complex matters to the appropriate HR leader.
- Coordinate with payroll, finance, managers, and other departments to ensure timely and accurate completion of HR processes.
- Maintain HR supplies, process department invoices, and assist with administrative needs.
- Participate in employee training, HR projects, meetings, and process improvement initiatives.
- Assist with maintaining HR policies, forms, procedures, and other department resources.
- Protect confidential employee and organizational information and exercise sound judgment and professionalism at all times.
- Provide excellent customer service and responsive support to employees, providers, managers, and the HR team.
Required Qualifications:
- Associate’s degree in HR, Business Administration, Accounting, or related field (Bachelor’s preferred)
- Experience in HR, payroll, or finance (healthcare setting preferred)
- Familiarity with compensation or reimbursement procedures is a plus
Knowledge, Skills, & Abilities:
- Understanding of HR laws and best practices, bookkeeping, and payroll practices
- Excellent organizational and time management skills
- High attention to detail and accuracy
- Effective written and verbal communication skills
- Discretion in handling confidential information
- Proficient in Microsoft Office and HRIS
