ABOUT THE ROLE

The Clinic Practice Manager oversees daily practice operations, ensuring efficient, high-quality patient care. Working closely with physicians, clinical staff, and leadership, this role manages provider scheduling, patient access, workflow, and resource coordination.

As the key liaison between providers and Clinic leadership, the Practice Manager identifies ways to improve patient flow, efficiency, and the overall patient experience — while also supporting the Medical Director in translating clinical priorities into effective workflows and clear communication across teams.

The ideal candidate is an organized, collaborative healthcare professional with strong leadership, analytical, and communication skills, committed to the Clinic's mission and values.

KEY RESPONSIBILITIES

  • Manage provider scheduling systems, clinic templates, and patient access processes.
  • Monitor scheduling utilization, appointment availability, no-show rates, and cancellation trends; implement strategies to improve access and scheduling efficiency.
  • Lead initiatives to improve patient flow, clinic throughput, and operational performance within Medical Practice.
  • Serve as the primary operational liaison for physicians and providers.
  • Coordinate provider schedules, leave requests, coverage plans, and operational support.
  • Monitor encounter completion and documentation workflows to promote timely and accurate medical record completion.
  • Investigate operational patient complaints and identify opportunities to improve patient experience and service delivery.
  • Develop, monitor, and report operational performance metrics, including access, throughput, scheduling performance, and provider support indicators.
  • Support implementation of policies, procedures, workflows, and practice improvement initiatives.
  • Collaborate closely with the Nursing Manager to align operational workflows with clinical quality and patient safety objectives.
  • In conjunction with the nursing manager, direct daily deployment of Medical Assistants to support provider schedules and clinic operations.
  • Coordinate acquisition and maintenance of medical supplies and equipment necessary for patient care activities.
  • Assist with department budget monitoring and resource stewardship.
  • Prepare reports, dashboards, and analyses to support Medical Director decision-making and operational improvement efforts.
  • Identify operational barriers affecting provider productivity, patient access, and clinic efficiency and implement practical solutions.

Preferred Candidate Profile

  • The ideal candidate will have experience in ambulatory care operations, medical practice management, provider scheduling, patient access, workflow improvement, performance analytics, and healthcare operations leadership. Strong collaboration skills, physician partnership experience, and a demonstrated ability to improve operational performance in a multi-provider practice are highly desirable.

Required Qualifications

  • Education and experience in the following fields: business administration, health services, nursing, or Licensed Practical Nurse (LPN) would be an asset to succeed in this role.
  • Minimum of 3–5 years of progressive experience in healthcare practice management, clinic operations, or a related healthcare administrative leadership role.
  • Experience coordinating provider schedules and clinical operations.
  • Strong understanding of patient access, scheduling, workflow, and healthcare operations.
  • Strong organizational, communication, problem-solving, and interpersonal skills.
  • Demonstrated ability to work collaboratively with physicians, providers, clinical staff, and administrative teams.
  • Ability to analyze operational data and prepare reports for leadership.
  • Strong computer skills, including experience with electronic medical records (EMR), practice management systems, and healthcare information systems.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Commitment to the mission and values of Guam Seventh-day Adventist Clinic.
  • This position reports to the Medical Director and works closely with the Nursing Manager and other operational leaders to support the mission and operational goals of Guam Seventh-day Adventist Clinic.
